BESS Quotation Checklist for EPC and C&I Buyers
Prepare a comparable BESS request for quotation with a clear scope, operating profile, acceptance criteria and equipment interfaces.
Engineering guidance. Examples are design assumptions, not product guarantees. Reviewed October 29, 2026.
Define the project before requesting a price
A comparable BESS quotation needs a common technical scope and a clear delivery boundary. State the site, application, required AC power, required usable energy and operating conditions. If sizing is not complete, request a documented sizing study and identify the missing inputs. Do not compare offers solely on nominal battery capacity.
Prepare the site information package
Include a single-line diagram where available, grid voltage and frequency, transformer details, available connection capacity, installation space, access constraints, ambient conditions and critical-load profile. Identify existing solar inverters, generators and switchgear by manufacturer and model. Ask suppliers to list assumptions and exclusions explicitly rather than silently filling gaps.
Separate equipment from integration work
Request an itemized scope covering batteries and BMS, PCS, EMS, thermal management, safety systems, switchgear, metering and communications. Identify who provides foundations, cabling, transformers, permits, installation and commissioning. A cabinet price and an installed project price have different boundaries; neither should be treated as the other.
Make interface responsibilities explicit
For each interface record the device, protocol, signal owner, control authority and responsible party. Ask who validates BMS-to-PCS limits, meter polarity, generator commands, export control and remote access. Compatibility must be confirmed for the selected models and firmware. Sharing a protocol name is not evidence that the full integration has been tested.
Request evidence and acceptance criteria
Ask for model-specific datasheets, applicable test reports and certificate scope where relevant, warranty terms, operating limits and commissioning documentation. Agree on how usable energy, AC power and functional tests will be measured, including meter boundaries and environmental conditions. Any applicable local standards, approvals and grid requirements must be confirmed by the responsible project professionals; a generic certification list is insufficient.
Compare lifecycle and commercial boundaries
Ask what auxiliary consumption is included, which maintenance actions are required and what operating conditions limit warranty coverage. Request separate freight, installation, commissioning and optional service lines. Pricing, stock, delivery schedule, country coverage and service availability are To be confirmed in the project offer. Do not infer availability from a website listing.
FAQ: Can a quote guarantee savings without a load profile?
A reliable savings assessment needs a site-specific dispatch model, tariff assumptions, operating constraints and project costs. A generic savings percentage cannot establish the result for your facility. Request the assumptions and sensitivity cases used in the assessment.
FAQ: What if required capacity is unknown?
Send the load data and business objective first. Request the sizing method, key assumptions and alternative configurations before selecting an equipment quantity. Use the power and energy sizing guide as a preparation aid, then obtain project-specific engineering confirmation.
Sources and scope
The terminology for power and stored energy follows EIA's explanation of battery power and energy capacity. Calculations are worked arithmetic examples. The procurement checklist is editorial guidance for defining a project scope, not a compliance standard or a verified product specification.
